Users on the Valet Manager A/R Monthly platform can sign up new monthly accounts via the point of sale. Depending on the settings your company and bookkeeper have set up, there are a few things to keep in mind.
Before Getting Started:
1. New monthly accounts may require approval via the back office Task Queue if the auto-approval setting is not enabled. The garage staff will need to wait until an account is approved prior to having access to it for the purposes of collecting in-garage payments or issuing a monthly ticket.
2. Monthly account creation may be locked via PIN. Consult with your back office staff or administrator for this PIN.
3. The first month's payment will be assessed at the time of account creation; the attendant or manager creating the account will need to collect this payment before the account creation process can be completed. This monthly fee is entered by the attendant or manager during the account creation process.
Creating a Monthly Account:
1. On the VM PoS home screen, select Monthly Ticket.

2. On the select Monthly Leaseholder screen, select the Manage Monthly Accounts button.

3. On the Monthly Accounts page, select New Monthly. This may require an access PIN depending upon the garage settings.

4. A popup will request the user to scan a Driver's License. Scan the customer's driver's license or select Continue to manually enter information if no driver's license is provided.

5. On the Permit Info screen, the customer's information will already be filled out if a driver's license was successfully scanned. Otherwise, enter the customer's Personal Info (name, DL number), permit start date, and contact information.

6. Next, enter the customer's billing address (and mailing address if different from their billing address).

7. The driver's license scan dialog can be re-initiated by selecting the Rescan button. Otherwise, select Continue once all of the customer's information and addresses have been entered.


8. Next, the customer's vehicle registration document can be scanned to import vehicle information. If the registration is not available, select Continue to manually enter vehicle information.

9. On the Vehicle Registration screen, fill in all information regarding the customer's vehicle. The vehicle Name is a nickname for the customer's vehicle profile. Only the Vehicle Name and License Plate are required entries; all other fields can be filled in via POS or back office at a later date if not immediately available.

10. The vehicle registration document can be rescanned by selecting the Rescan button. Otherwise, select Continue to proceed once all available vehicle information has been entered.

11. On the next popup, enter the negotiated monthly rate. Note that this amount will be taken as up-front payment in order to finalize the account creation process.

12. The customer's signature will be requested on the credit card terminal as an acknowledgment of the negotiated rate.

13. The next popup will request a permit number to be entered. Permit numbers are unique to each vehicle and multiple permits can later be added to the same account. Permit numbers are also known as slot numbers or spot numbers.

14. Once the permit number is entered, payment will be requested via the credit card terminal.

15. When payment is completed, a message will be displayed indicating that the account creation process has been completed. Note that the account may not yet be available for additional payments or monthly ticket creation if the monthly account has not been approved via back office. For companies that have enabled auto-approval of new accounts, the monthly account is available for use immediately.
